How to Evaluate a Hotel Furniture Manufacturer in China: A Procurement Checklist
Choosing a hotel furniture manufacturer in China is a project decision, not only a product decision. The right supplier must be able to understand drawings and specifications, coordinate materials and finishes, control quality, protect products for shipping, and communicate clearly throughout the project.
1. Confirm the supplier's hospitality scope
Ask whether the supplier has experience with the areas and products in your project. A hotel furniture package may include guest rooms, lobbies, restaurants, public areas, terraces and poolside spaces. Confirm whether the supplier can support the required categories, such as sofas, chairs, tables, beds, outdoor furniture or marble furniture.
Review the supplier's project information and product categories, then ask for examples that are close to your project in use, material and scale.
2. Send a complete RFQ package
A useful request for quotation should include product names or reference numbers, drawings or dimensions, materials, finishes, quantities, delivery destination, required delivery date and any applicable performance requirements. Clear information helps a supplier identify questions before pricing and reduces changes after an order is placed.
- Product schedule and quantities
- Drawings, dimensions or reference images
- Material, color and finish requirements
- Packaging and labeling requirements
- Destination port or delivery address
- Target sample and production dates
3. Review samples, materials and finishes
For custom hotel furniture, a sample or finish board is often more useful than a catalogue image. Confirm the frame or structure, upholstery, stone, hardware, coating, color and surface treatment. Record approved materials and finishes in the project documents so the production team and buyer are working from the same reference.
4. Ask how quality is controlled
Before production, clarify how the supplier checks dimensions, appearance, material consistency, function, packing and quantity. Ask when inspections happen and how non-conforming items are handled. For a multi-room hotel project, repeatability and finish consistency are as important as the appearance of one sample.
5. Confirm production and delivery details
Request a clear schedule covering drawing confirmation, sample approval, production, inspection, packing and shipment. Confirm the minimum order quantity, production lead time, packing method and shipping terms for each product group. Do not rely on a general promise of fast delivery when the project has a fixed opening date.
6. Evaluate communication and documentation
A reliable project supplier should be able to respond to specification questions, issue clear quotations and keep an approval record. During the quotation stage, evaluate the quality of the supplier's questions as well as the price. Good questions often reveal whether the team understands hospitality project requirements.
