Hotel Furniture Packaging and Shipping from China: A Buyer Checklist
Packaging and shipping should be part of a hotel furniture RFQ from the beginning. A package can include guestrooms, lobby seating, restaurant tables, outdoor furniture and stone items, each with different protection and handling needs. Clear packing information helps the buyer plan receiving, storage and installation instead of treating delivery as the final unplanned step.
1. Match packing to the product and project area
Confirm how corners, glass, stone, upholstery, finished wood, metal and hardware will be protected. Guestroom casegoods may need surface protection and room-by-room labels, while outdoor furniture may need protection from moisture and abrasion. Marble or other stone items need attention to edges, weight, separation and lifting. The approved finish and packing method should be recorded together with the product code.
2. Use a product schedule and package labels
Each package should be identifiable by product code, description, quantity, project area and, where useful, room type or installation sequence. The packing list should use the same product codes as the quotation and drawings. This makes it easier to check quantities at destination and to find a replacement part or installation instruction when a package is opened later.
3. Plan container loading and delivery sequence
Ask how the supplier plans the loading order, package dimensions, estimated volume and weight, fragile items and unloading requirements. If the hotel will open in phases, show which areas must arrive first. Confirm the destination port or address, target delivery date, delivery terms, insurance responsibility, unloading arrangements and any local access restrictions before production is released.
4. Confirm documents and handover information
A project handover may require a commercial invoice, packing list, shipping documents, installation instructions, hardware list, care information and records of approved changes. The exact requirements depend on the buyer, destination and agreed delivery terms. Ask the supplier to identify which documents are included and which are provided by the forwarder or project team.
5. Inspect packing before shipment
Before shipment, request a packing review that can be matched to the approved product schedule. Useful evidence may include package photographs, labels, dimensions, quantity checks, protection details and a record of open defects.
